AutoDoc Commercial Product Overview
The Product
AutoDoc turns approved Word templates into a controlled, repeatable document-production workflow. Teams upload a .docx template once, identify the fields automatically, fill each case from a browser, preview the completed result as a PDF, and download the final DOCX. No member needs Microsoft Word, a desktop macro, or a local automation package.
Who It Serves
AutoDoc is suited to organisations that create high volumes of documents with a stable structure and changing details, including:
- Legal and property practices preparing agreements, deeds, notices, and certificates.
- HR and operations teams preparing letters, forms, onboarding documents, and internal records.
- Consultants, administrators, and service businesses producing client-specific documents from approved formats.
- Member-based organisations that need separate, private workspaces for each user.
Business Value
| Need | AutoDoc Response |
|---|---|
| Repeated manual editing of the same Word file | Reusable Template Library and fast document creation from an approved source. |
| Missed fields or inconsistent data entry | Automatic placeholder detection and a Check Match validation step. |
| Time spent creating one document per spreadsheet row | Excel mail merge with column mapping, row-level validation, editing, and PDF output. |
| Concern that text expansion changes a standard format | Page-aware output that attempts to retain the source page count. |
| Local macros and desktop dependencies | Browser-led workflow with server-side processing and preview generation. |
| Shared systems exposing one client's work to another | Owner-scoped templates, documents, values, downloads, and reminders. |
Core Workflow
- Save a commonly used DOCX in the Template Library, or upload a DOCX for one-time use.
- AutoDoc finds fields written as
<fieldname>or{fieldname}in paragraphs and tables. - Create a document record and add its name, description, creation date, and optional renewal reminder.
- Enter values individually, paste a list, or import an Excel workbook.
- Use Check Match to resolve missing values before output.
- Preview the PDF and download the completed DOCX, or generate one PDF per mail-merge row.
- Retain the document record for reference, duplicate it for a similar case, archive its source file, or delete it when no longer required.
Package Framework
Packages provide a clear basis for access management and commercial packaging. The included defaults are administrator-assigned and can be changed in the database by the operator.
| Package | Billing period | Templates | Documents | Mail merge | Storage |
|---|---|---|---|---|---|
| Occasional | Yearly | 3 | 100 | 100 | 1 GB |
| Regular | Monthly | 10 | 300 | 300 | 2 GB |
| Professional | Monthly | 50 | 1,000 | 1,000 | 10 GB |
| Enterprise | Monthly | 200 | 2,000 | 2,000 | 50 GB |
AutoDoc tracks saved templates, document records, and successfully generated mail-merge documents against the member's assigned limits. Assigning a new package resets the document and mail-merge counters. Billing, pricing, payment collection, and period resets are operational policies outside the application and should be documented by the operator.
Trust And Responsibilities
- Authentication uses signed JWT access tokens; passwords are hashed with bcrypt.
- Every member's documents and templates are owner-scoped in application endpoints.
- Administrators can manage members, roles, activation status, package assignment, and the global upload-size limit.
- The application accepts DOCX templates and XLSX mail-merge files only.
- AutoDoc is an automation tool, not a provider of legal, financial, or professional advice. The document owner is responsible for template approval, entered values, review, retention, and compliance obligations.
Output And Page Count
When LibreOffice is configured on the server, AutoDoc records the original page count of an uploaded template, renders a PDF preview, and supports Keep original generation. If merged values would grow the document, AutoDoc reduces explicitly sized text across the document uniformly in small increments, never below its internal 8pt floor, then checks the rendered page count again. This is an attempt to preserve page count, not a guarantee that every possible value will fit. The application signals a warning when it cannot fit a document at the minimum size.
Use Just replace when speed is more important than preserving the original page count. It performs a plain merge without the page-fitting pass.
